1. Reserve your holiday

On receipt of your completed booking form and deposit (or full payment within 10 weeks) we will confirm your booking and from that point cancellation charges will apply. We will send you confirmation with details of your arrangements. Clients booking by phone, email or by fax will be deemed to have signed the declaration on the booking form and agreed to our Terms & Conditions. We reserve the right to decline any booking at our discretion.

2. Booking Procedure

Reservations can be made by email, phone, fax or by post. Bookings are reserved and confirmed by us on your behalf and at your request. It is the responsibility of the person making the booking to check that all details they provide are correct at time of booking and on receipt of confirmation invoice. If any details are incorrect av8tours must be notified immediately. A failure to do so may incur charges.

3. Liability

Av8tours Ltd will not be liable to passengers for any delays, breakdown of any vehicle or equipment used, negligence, loss, injury, illness, theft or property damage that they suffer whilst in our care nor will av8tours be liable for any injury or illness whilst participating in any sport, activity or event. This is at the clients own risk and must be covered by their personal travel insurance policy.

4. Cancellation

Should you be forced to cancel your holiday we must be notified in writing. Cancellation charges are calculated from the date we receive the written notice of cancellation. The following conditions apply unless the operator’s charges differ in which case the greater of the two will apply:

6. Legal Jurisdiction

The laws of England shall apply in all respects and the Courts of England shall have sole jurisdiction.

7. Payment

You must pay the balance by the due date shown on your confirmation. Please note that for some telephone bookings full payment may be required IMMEDIATELY i.e. before you receive confirmation. If this applies you will be advised when the booking is made. It’s important that you pay balances when due because a failure to do so may lead to the cancellation of your holiday and still leave you liable to the cancellation charges.

All credit card payments are subject to a 2-3% credit card charge. However where cancellation can be avoided with the Principal a late payment fee of £20 will be applied to your balance.

8. Passports, Visa and Health requirements

Passports and Visa: You must consult the relevant Embassy or Consulate for this information. Requirements may change and you should check for up to date position in good time for departure. We regret we can accept no liability if you are refused ent5ry onto the flight or into any country due to failure on your part to carry the correct passport, visa or other documents required by any airline authority or country.

Health: Recommended inoculations for travel may change at any time and you should consult your doctor on current recommendations before you depart. It is your responsibility to ensure that you obtain all recommended inoculations, take all recommended medication and follow all medical advice in relation to your trip.

9. Force Majeure

While every effort is made to ensure that passage is as booked, we reserve the right, in any circumstances beyond its control to cancel, amend, or withdraw any flight, accommodation, car hire or  ancillary reservation.
In this event we will endeavour to provide acceptable alternative arrangements. If such arrangements cannot be made, we will refund any money paid (or that proportion which represents the affected journey), but shall have no further liability whatsoever.

10. Ticketing

Av8tours can not be held responsible for delayed or lost post. For other arrangements such as recorded delivery please instruct on receipt of this invoice. All documents/tickets must be checked thoroughly on receipt. Any discrepancies must be communicated to AV8 Tours. If tickets are lost the carrier or supplier may ask you to pay for new ones and refund the original tickets, after they have expired without being used. Alternately, new tickets may be issued, provided you sign a form of indemnity, agreeing to pay them if the lost tickets are used by someone else. In either case a fee (which can be as high as 100% of the purchase price) may be charged for replacing the lost tickets. It is your responsibility to ensure that you travel with all relevant documents i.e. car and accommodation vouchers prior to date of travel.

11. Complaints

If you have any complaints you must inform av8tours Ltd whilst in resort. If we cannot resolve your problem whilst in resort you must write to us within 14 days of return.

If you do not tell us about your complaint, our ability to investigate it could seriously be hampered, and we will not deal with it unless there is a valid reason why you didn’t inform us. You can of course pursue your claim elsewhere.

12. Data Protection Act 1998

By making a reservation with us you agree to the use and disclosure of information given to us for the following purposes; to process your booking, for market research and analysis, to prevent fraud and to enable us to contact you by letter, telephone or email with the details of our services.
